The 2-week pilot
What actually happens, day by day.
Every MindSafe customer starts with the same two weeks: full-service, on your real roster, with the full platform. No demo data, no feature gates, and no invented case studies — this page is the case study, and you run it yourself.
Week one: the pulse starts listening
Before day 1
We set everything up — you send one CSV
Your workspace is created, your employee roster is imported from a CSV we validate row by row, teams are mapped, and your pulse send window is set to a sensible hour in your organisation's own timezone. Your people team gets a live training walkthrough. Total effort on your side: one spreadsheet and one 30-minute call.
Day 1
The first pulse lands
Every employee receives a short email at your chosen local hour with one question about a wellbeing dimension and one-tap answers. Tapping opens a confirmation — nothing is recorded until the employee confirms — and then their own private dashboard. Answering takes under ten seconds.
Days 2–5
Personal dashboards fill in; the floor does its job
Employees watch their own trend build in a dashboard only they can access, with small evidence-based suggestions and a breathing exercise built in. HR and managers see nothing yet about any group smaller than five respondents — and that is the point. The first time your team watches the floor hold is the moment the pilot starts earning trust.
End of week 1
The first organisation-wide trend appears
Once five or more people have responded, the organisation view unlocks: rolling wellbeing averages by dimension, participation, and early team-level signals for teams that have crossed the floor. You will already see which days and dimensions move.
Week two: your first anonymous survey
Day 8
Your first survey goes out
Most pilots start with eNPS (two questions) or the six-driver engagement template. You edit the template in the builder — or send it as-is — and it goes to everyone through the same anonymous pipeline as the pulse.
Days 9–11
Reminders that never point fingers
Non-responders get a nudge without anyone — including HR — ever seeing a list of who has or hasn't answered. Response rates climb without response pressure, which is precisely the combination that keeps answers honest.
Days 12–13
Results unlock, org-wide and per team
Survey results appear for the organisation and for every team that independently crossed the five-respondent floor: score distributions, eNPS promoter/passive/detractor breakdown, and free-text comments shown unattributed and shuffled. One click exports the floor-gated results to CSV.
Day 14
The readout
We walk your team through everything the pilot produced: pulse trends, survey results, participation, and what the structural recommendations suggest doing first. Then you decide — continue, or walk away with your questions answered.
Two views, one privacy floor
What employees see
- One short pulse email a day (or the cadence you choose), answerable in one tap
- A private dashboard of their own trend that no manager or HR partner can open
- The anonymity rule stated up front: no result appears until five people respond
- A pause button for their own pulse emails, and one-click erasure of their identity
- Break Glass: crisis resources and a confidential HR callback, always one tap away
What HR and managers see
- Organisation-wide wellbeing trends by dimension, once five or more respond
- Per-team views that unlock only when that team independently crosses the floor
- Survey results with eNPS scoring, unattributed shuffled comments, and CSV export
- Participation rates — but never a list of who has or hasn't responded
- Structural recommendations and the retention ROI view, plus pause controls for the whole campaign
The boundary between the two columns is the product. How it is enforced — row-level security, tokenised access, and the five-respondent floor — is documented in the trust model.
Frequently asked questions
- What does the pilot cost?
- The two-week guided pilot is free and full-service: setup, roster import, training, and the day-14 readout are all included. It runs on the full platform with your real data, not a demo tenant.
- How much employee time does it take?
- Under ten seconds a day for the pulse, plus one survey of two to seven questions in week two — a few minutes across the entire fortnight. There is nothing to install; everything works from an email link.
- What if some of our teams have fewer than five people?
- Their responses still count toward the organisation-wide view, but their team view stays locked — permanently, if the team stays that small. We would rather show you a locked panel than teach your smallest teams that anonymity bends when results look interesting.
- What happens to our data if we don't continue?
- You leave with the floor-gated CSV exports, and employee identities are erased from the system — the same audited erasure any employee can trigger themselves. Walking away clean is part of the design.
- Do employees need accounts or an app?
- No. Employees interact entirely through tokenised email links — the daily pulse, their private dashboard, and surveys all open in the browser with no login, no app, and no password to forget.
